1. Scope of This Policy

This Privacy Policy explains how Amiovox.ai ("Amiovox.ai," "we," "us") collects, uses, and shares information in connection with this website (amiovox.ai) and our three programs: CX Consulting (advisory services), VoxCare (patient-balance recovery for healthcare providers), and VoxForce (a community referral program). It applies to visitors to this site, prospective and current clients, VoxForce community partners, and — where noted below — the patients and customers our programs interact with on behalf of our clients.

2. Information We Collect

We collect information in a few different ways:

  • Information you give us directly — for example, your name, organization, email address, and message when you fill out a contact or pilot-interest form on this site, or when a VoxForce community submits a referral.
  • Information collected automatically — standard web analytics data (pages visited, browser and device type, referring URL, approximate location from IP address) collected when you browse this site.
  • Information processed on behalf of our clients — when a healthcare provider engages VoxCare, or a business signs up through a VoxForce referral, Amiovox.ai or its underlying technology processes information about that provider's patients, or that business's customers, strictly to deliver the contracted service. See Section 3 for how this is handled.

3. Healthcare Information & Patient Data (VoxCare)

VoxCare's outreach cascade communicates with patients about small account balances on behalf of healthcare provider clients. Some of the information involved — patient name, contact information, treating provider, and account balance — can constitute Protected Health Information ("PHI") under the Health Insurance Portability and Accountability Act ("HIPAA") when tied to a patient's care.

  • Amiovox.ai enters into a Business Associate Agreement ("BAA") with each VoxCare healthcare-provider client before handling any PHI on that client's behalf, as required under HIPAA.
  • PHI processed through VoxCare is used solely to deliver the contracted balance-recovery service — placing outreach, capturing a payment or payment plan, and reporting outcomes back to the provider — and is not used for advertising, sold, or shared with unrelated third parties.
  • The healthcare provider remains the HIPAA Covered Entity and retains responsibility for its own notice of privacy practices, patient consent, and compliance obligations; this website Privacy Policy does not replace or substitute for that notice.
  • PHI is encrypted in transit and at rest, access is limited to personnel and systems that need it to perform the service, and it is retained only as long as needed to deliver the service and meet the provider's instructions and applicable law, then deleted or returned per the BAA.
  • Patients with questions about how their own information was handled should contact their healthcare provider directly, who can escalate to Amiovox.ai as needed under the BAA.

4. How We Use Information

We use the information described above to:

  • Operate, maintain, and improve CX Consulting, VoxCare, and VoxForce;
  • Respond to inquiries and fulfill contract or pilot requests;
  • Process VoxForce referrals and calculate community fund payouts;
  • Understand how visitors use this site so we can improve it;
  • Meet legal, security, and contractual obligations.

5. Cookies & Analytics

This site may use cookies or similar technologies for basic functionality and web analytics. You can control cookies through your browser settings; disabling them may affect how parts of this site function.

6. How We Share Information

We do not sell personal information. We may share information with:

  • Service providers who help us run our infrastructure (e.g., cloud hosting, email delivery), bound by confidentiality and data-protection obligations;
  • The healthcare provider or business a patient or customer's interaction relates to, as part of delivering the service;
  • Authorities, where required by law, subpoena, or to protect the rights, safety, or property of Amiovox.ai or others.

7. Data Retention & Security

We retain information only as long as needed for the purposes described in this policy, or as required by contract or law. We maintain administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, or disclosure — see our Security Policy for more detail.

8. Your Rights & Choices

Depending on where you live, you may have rights to access, correct, or delete personal information we hold about you, or to opt out of certain uses. To make a request, contact us using the details in Section 11. Patients seeking to exercise rights over their health information should generally start with their healthcare provider, per Section 3.

9. Children's Privacy

Our services are directed at businesses and healthcare organizations, not children. We do not knowingly collect personal information directly from children under 13.

10. Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by updating the "draft prepared" date at the top of this page.
